Purchasing and restocking

Your suppliers' price lists consolidated against your catalog, with each one's real net cost and a restocking suggestion based on how things actually sell.

Who it's for Distributors, importers and retailers buying from several suppliers and deciding restocking off a spreadsheet.

The problem

List price lies. Between the supplier's general discount, per-product discounts and volume rebates, the real net cost of the same item can vary meaningfully between two suppliers — and finding out means opening several spreadsheets and doing the math by hand.

Restocking works the same way: decided from memory and from fear. You restock what just sold out and forget what will sell out next week, until a stockout reminds you.

How I solve it

01Supplier lists against your catalog

I import each supplier's list and match it against your master catalog, which stays authoritative. Whatever doesn't match stays visible for review rather than being silently dropped.

02Real net cost, not list price

The system applies the supplier's general discount and per-product discounts to reach the net cost of each item from each supplier. Only then does the comparison mean anything.

03Price increase detection

Every new list is compared against the previous one, flagging what went up and by how much. Increases stop showing up for the first time on the invoice.

04Restocking based on real sales

ABC classification, criticality priority, average daily sales, days of stock left, estimated stockout date and trend. With that, the system suggests how much to buy — and shows its work, so the buyer can argue with it.

05Margin in plain sight

With net cost and selling price, each product's margin is visible on the same screen where the purchase is decided. Buying something cheap that sells badly stops looking like a good deal.

What I've already built

  • Supplier lists consolidated against a master catalog of ~2,336 items, with cost derivation validated at 99.2% against the client's own system.
  • Restocking engine with ABC classification, priority, days of stock, estimated stockout date and two suggested quantities.
  • It absorbed a spreadsheet the purchasing lead maintained by hand; two people used the panel every day.
